Phone systems and calling plans are a major expense at any firm. The Billback Call Accounting Manager helps you capture and recover more telephone costs from PABX, VoIP switches, cell phone carriers and Blackberries.
The system provides two convenient deployment options. The first option allows users to enter account codes into the telephone handset directly for each call made. To streamline access and improve productivity, the call accounting and exception manager modules can be used in combination with one another so that only calls above a certain threshold level need to be addressed by users. Working in this mode, professionals and/or their designated support staff receive a daily email noting any calls that exceed management-defined thresholds and that therefore require attention. Users simply click an embedded link with the email to review exceptions and quickly assign appropriate client codes as necessary. Billback even suggests account codes for telephone numbers based upon previous assignments by the staff member.
Billback telephone call accounting features include:
- The system captures all data available on the call including but not limited to telephone extension, date, time, duration, and dialed number.
- Account code entry is supported through the handset as well as exception handling using Billback’s browser-based application.
- Each user can have multiple extensions assigned - even if the extensions are in different offices.
- The system is customizable to handle interoffice tie-line calls.
- Phone charges are calculated using tariffs appropriate to the carrier. Flexible charge options allow markups and discounts that vary by office, department, and client.
- Telephone call data buffer used to collect data from PBX. Different capacity buffers available for different size organizations. These buffers act as a backup to protect against a hard disk failure that could result in data loss if the data was collected from the PBX directly to a PC.
- For multi-site implementations, Billback supports imports from different types of PBXs and tariff table processing for different locations - all on a single Billback implementation.
- Billback provides cost recovery for conference rooms via either the use of personal PINS that tie a telephone call back to the caller or by having all conference room exceptions sent to the individual with responsibility for taking conference room bookings. This person can easily match up bookings with calls based upon date/time/duration and thereby assign the appropriate account code.
- Call data from mobile phone carriers for corporate accounts can be imported into Billback. This data is provided electronically by the carriers on a monthly or more frequent basis and can be imported into Billback and then processed as an exception so that an account code can be assigned.
- An extensive range of telephone management reports are available allowing administrative oversight on all aspects of the firm’s telephony systems. Reports let administrators quickly see chargeable activity, potential phone abusers (those high cost callers or inappropriate high duration callers), and general use of the PBX or VoIP switch.
